The following Terms and Conditions pertain to shows hosted by Quiz Meisters (inclusive of Trivia, Survey Says, Bingo Boombox, Sheepoll’s Majority Rules, etc.). By submitting your details through our online booking system, you hereby explicitly agree to these Terms and Conditions and confirm that you have the appropriate authority within your organisation to agree to such Terms and Conditions.
ABOUT A QUIZ MEISTERS QUIZ
A Quiz Meisters event can vary in length according to the show, the crowd, and the event required. Our in-person shows and events can be booked for 2 hrs, 1.5 hrs, or 1 hr (with time allowed either side for set up and pack up). Our online shows are available for 1 or 2 hours. However, different show times are available upon request. Please let us know in writing as early as possible if a change to your show length is required.
Additional fees will be incurred if your event runs longer than expected at the fault of the organiser (see EXTRA RATES OVERVIEW). If this is the fault of the host or hosts, there will be no extra charges incurred.

PREPARATION PRIOR TO THE EVENT
Upon booking an event, you will be emailed a confirmation of the show details and be granted access to our suite of digital promotional resources for the event. Quiz Meisters will then allocate a trained trivia host who will then contact your event’s organiser approximately one week prior to introduce themselves, discuss the format of your event, audio/visual (A/V) requirements, and any special requests. If you are hosting a physical event, your host will arrive at the venue approximately one hour prior to the show start time to set up the A/V equipment and perform a sound check. Your host will present the show and guide the audience on marking answers. If you have booked an online event, the host will open the event 15 minutes prior. Quiz Meisters will provide the show content, physical or online answer sheets, pens and all A/V gear needed (please see below). Our hosts are both highly professional and very fun, and will provide an excellent entertainment experience for you.
WHAT WE PROVIDE
At your Quiz Meisters event, we will provide: A talented, experienced host to run the show to the best of their ability; all AV equipment that is required to run the show, including microphones, speakers, projectors, screens etc (For shows of 150+ PAX, please see AV, TECH, AND THE NEED FOR AMPLIFIED SOUND); pens and answer sheets; promotional materials for the event.

PRIZES
It is the client's responsibility to provide prizes for the night. Our host can provide advice on what prizes work well for our events. We recommend you organise prizes for the first, second and third place winners, and a ‘wooden spoon’ prize for the team that comes last. Our shows also include several ‘bonus prize’ games; we recommend you provide spot prizes for these games also. The number of bonus prize games will depend on the product you book and the length of the show. The allocated host will provide advice on the number of games that will be included in your show and the types of prizes that could suit your needs.
CORPORATE PRICING BREAKDOWN
Our pricing model is based on two primary factors:
We can provide a quote estimate based on approximate attendance and the length of the show you have booked. These costs are combined and GST is then calculated and added. Additional costs, such as parking and weekend rates, will be added to the final invoice. Please note that the prices outlined below are non-negotiable. The attendance for each event will be counted by the host at the show and an invoice reflecting that amount will be issued within five business days after the event.
If the number of players at your event is different to what you were quoted, you will only be charged the amount for the show that corresponds to attendance at the event.

DEPOSIT
A non-refundable $100 deposit will be required at time of booking. This can be paid via the show booking form we send you, or via invoice. If you choose to pay via invoice, we require payment no later than 24 hours after issuing this invoice so your event can be booked in. The booking will not be confirmed until the deposit is paid.
INVOICING
We shall issue the final invoice for the show within 5 business days after the event, barring any unforeseen circumstances. The show invoice must be paid within 7 days of its issuance. We accept payment via cheque, EFT, cash, or credit card. Please note: if you are paying by credit card, there is a surcharge of 1.85% for domestic cards including Visa, MasterCard and AMEX. This is automatically added when you pay your invoice through our online payment service. Please note: we cannot issue your final invoice for the remaining outstanding until after your show has taken place. This is to ensure that all factors of the show, inclusive of anything above, are considered during invoicing, and you are charged the correct amount for your show.
DEBT RECOVERY
Very infrequently, a client falls into arrears. In this case, Quiz Meisters will make every effort to advise you if you are in arrears via email and/or phone to arrange payment of the outstanding amount. If payment has not been made within 90 days following the issuance of our invoice, we may have no alternative but to refer the matter to a debt collection agency. Should your account end up in arrears with no response or communication to Quiz Meisters, then your account will be referred to our Debt Collection Agency. You will then incur an additional charge consisting of all costs required to engage such services to our successful recovery on all fronts.
HOST TRAVEL
If the venue for the event is more than 50 minutes’ travel from the CBD, then we shall charge a small travel fee (See EXTRA RATES OVERVIEW). We will contact you with a quote for regional travel for events held more than 1.5 hours away from any capital city CBD.
PARKING
We will require you to arrange for your allocated host to have a car parking space for the duration of the event. If a car parking space cannot be arranged internally by your or at your venue, we shall charge the full cost of parking that the host has had to organise themselves (e.g. a nearby parking garage).
WEEKEND/PUBLIC HOLIDAY RATES
If your show is scheduled for a weekend or public holiday, additional charges of $77 for will apply.
EVENT CHANGE POLICY
Should there be any changes that affect the show overall (change of show start time, show length increase/decrease, venue change, etc.), we require a minimum 48 hours notice in writing. This allows us to communicate any show changes to the allocated host with enough notice for them to prepare accordingly. A Short Notice Surcharge of 10% of your show's fee will be incurred If you fail to provide notice of any major changes in writing within this time frame.
AV, TECH, AND THE NEED FOR AMPLIFIED SOUND
As a part of the Corporate Quiz package, for bookings under 150 PAX, we will provide all AV and Tech equipment to run your event from any venue that has easy access to sufficient power.
Our show is designed to be as engaging and interactive as possible. Therefore, the use of a microphone and access to amplified sound is essential to the presentation of our products and we require the use of a microphone throughout the entire duration of your event. This allows our hosts to connect with your audience and entertain your crowd without putting their voice at physical risk. Please check with your venue that amplified sound is permitted for your event.
Please advise us as soon as possible if you are expecting more than 150 people to attend the show. In this case, our standard A/V equipment may not be appropriate or sufficient and we may require you to make alternate arrangements with a third-party audio/visual company.
EVENT CANCELLATION POLICY
Please provide us with as much notice as possible in writing if, for whatever reason, your event will not go ahead. We require a minimum of 48 hours notice to cancel your booking. If you cancel your booking after the deposit has been paid, the deposit amount will be retained as a cancellation fee. If you have requested any additional custom content for your show, and it has already been commenced or completed, you will be charged 100% of the custom content costs (on top of the $100 non-refundable deposit). If you cancel your event with less than 48 hours notice provided, you will be charged the full fee of your show including all custom content created for your show. The above policy of charging for custom content will also apply (if applicable).
EVENT POSTPONEMENT POLICY
Should you need to postpone your event for any reason, we can reserve your deposit and event for up to 12 months. Please provide us with this notice in writing. There are no additional fees required to postpone your show if you provide at least 48 hours notice. If you provide less than 48 hours notice to postpone your event, we will treat this as a cancellation and we will retain the $100 booking deposit as a cancellation fee. You will then need to submit a new booking form and pay an additional $100 deposit for your event. Furthermore, if a new event date is not decided within 12 months, the postponement will be treated as a cancellation and the $100 deposit will be retained as a non-refundable cancellation fee.

EVENT CUSTOMISATION
While we have products built specifically for our events, we can definitely accommodate any custom content you require to give your show a more personal touch. This can be done a number of ways for a number of our products:
TRIVIA
We can make your show customised in one of two ways:
1. Standard Bonus Questions - these are questions submitted by you to replace some of our written questions in the quiz. The number of bonus questions you can submit depends on the length of show you book. We require your questions and answers to be sent by you no later than5 business days before your event is scheduled to take place, and then our creative team can spread your custom questions throughout the quiz. This customisation is billed at a flat rate fee (See CUSTOM CONTENT RATES)
If your questions are sent to us after the 5 business days deadline, an additional 10% Short Notice Surcharge will be added to the bonus questions fee. If your questions are sent to us 48 hours before your event, they will not be included in the show.
2. Bespoke Show: we can create a fully custom quiz fit to a specific theme or concept that your event is based on. Our team will send you a form to fill out; we will then create the quiz from the content you have included in this form. We will inform you of the overall time spent on both forms of customisation in the final communications we have with you before the event. These time based charges will appear on your final invoice (See CUSTOM CONTENT RATES)
Our bespoke charges are based in two forms:
Quiz Writing Production: Entails the research towards the content of your theme or concept, and the creation of questions stemmed from the research we find relevant.
Audio-Visual Production: Entails the research towards the content of your theme or concept, and the creation of audio-visual segments and questions based on the research we find relevant.
CUSTOM CONTENT RATES
We require all of your bespoke information no later than 10 business days before your event is scheduled to take place. This information includes but is not limited to; advising us of a bespoke concept; advising us of any changes to the bespoke content; additional admin required for the bespoke show; or further inclusions that you have provided to us.If your information is sent to us after this period, an additional 20% short notice charge of your show's customisation fee will be applied. If your bespoke information is sent to us less than 5 business days before your event, we cannot proceed with creating your custom content. If you advise us of the cancellation of the bespoke content for the show after it has been finalised and created, you will be charged the full fee for the amount of customisation work completed.

CORPORATE EVENTS COVID-19 POLICY
Quiz Meisters is dedicated to mitigating risks to our staff and clients, including those specific to Covid-19. It is our expectation that all staff will adhere to the current guidelines for hygiene, social distancing and self isolation as mandated by the federal and state governments.
If Covid-19 regulations and restrictions affect the status of your event, we will work with you to postpone your event to a later date until it is safe to do so. We will work to adhere to our Covid-19 policy as well as government regulations, but also adhere to our cancellation and postponement policies outlined in our terms and conditions. If your event has to be cancelled due to Covid-19 restrictions put in place and cannot be postponed, the deposit amount will be retained as a cancellation fee. If you have requested any additional custom content for your show, you will be charged for the costs of any production that has already occurred (on top of the $100 non-refundable deposit).
LIMITATION OF OUR LIABILITY
We will endeavour to run the event with reasonable care and skill. However, we will not be liable to you for any loss or damage in the following cases:
QUIZ MEISTERS’ INTELLECTUAL PROPERTY & ASSETS
A Quiz Meisters show (including all formats e.g. Survey Says, Bingo Boombox) remains our intellectual property. You must not share our property with any third party, or present, use, or otherwise pass off our property as yours without express written consent from us to do so.
JURISDICTION
These terms and conditions are governed by the laws of Queensland, Australia.
RESOLVING DISPUTES
As a company, we would like the opportunity to address any concerns you may have regarding our services. In signing these terms and conditions, you agree to take reasonable steps to resolve any dispute that may arise by emailing us at admin@quizmeisters.com.au and informally outlining the issues you have. We will also take reasonable steps to resolve this dispute informally. Furthermore, you agree to resolve any claims relating to our provision of services, and these terms and conditions, through the use of mediation or arbitration. This agreement ensures that we both utilise alternative dispute resolution mechanisms before resorting to formal litigation.
CHANGES TO THESE TERMS AND CONDITIONS
We reserve the right to amend these terms and conditions from time to time. We will notify you if a change meaningfully alters these terms and conditions.
